Every step, in order
When it happens in the first app, the step runs in the second, with the client’s own account.
- A new contact is added
- A contact created in HubSpot (a form, an import, by hand), checked every 5 minutes. The token needs crm.objects.contacts.read.
- Send a template email
- An email from one of the client’s Postmark templates (a receipt, a booking confirmation), its variables filled from the run. The template must be on the server whose token this is.

What each client fills in
- Postmark: From address
- For example hello@northside.example
- Postmark: Template alias
- Postmark → Templates → the template: its alias.
The accounts it needs
Each is the client’s own, stored encrypted and never copied between clients. Until one is added the client’s checklist shows it, and nothing runs.
In the client’s HubSpot: Settings → Integrations → Private Apps (Legacy apps) → Create → scopes crm.objects.contacts.write, and for the triggers crm.objects.contacts.read, crm.objects.deals.read and tickets → copy the access token. A private app needs no HubSpot review.
Postmark → the client’s server → API Tokens → copy the Server API token. The From address must be a confirmed sender signature or on a verified domain.
After you install it
It lands switched off. The client’s checklist holds exactly this:
- Connect the client’s HubSpot, for “A new contact is added”
- Connect the client’s Postmark, for “Send a template email”
- Fill in Postmark: From address (For example hello@northside.example)
- Fill in Postmark: Template alias (Postmark → Templates → the template: its alias)
