Applicant intake for online stores
Acknowledge every job application at once, check it against the must-haves, log it, and send it to whoever hires.
Start the 14-day trial, then find it under Templates → Library. It installs into the client you choose, switched off, with its checklist.
Every step, in order
Branches show each arm; a step indented under one runs only on that arm. The words are the template’s own, and the client’s fields fill them in.
Why this workflow
Hiring in a small business is done between jobs: applications pile up unread, applicants hear nothing and accept elsewhere. An instant acknowledgement keeps them warm, a check against the hard requirements only (never a judgement of the person) sorts the pile, and the hiring person gets each one with that summary.

What each client fills in
- Business name
- How messages sign off.
- Reply by
- When applicants hear back: “Friday”, “within a week”.
- AI model
- The model the client’s key can use.
- Must-haves
- The hard requirements only: licence held, can work weekends, own transport.
- Applicants sheet ID
- The Google Sheet applications are logged to.
- Owner’s email
- Gets the summaries and the cases a person must handle.
The accounts it needs
Each is the client’s own, stored encrypted and never copied between clients. Until one is added the client’s checklist shows it, and nothing runs.
platform.claude.com → Settings → API keys → Create key, in the workspace that bills this client.
In your own Google Cloud project: enable the Google Sheets API, then IAM & Admin → Service accounts → Create → Keys → Add key → JSON, and paste the file here. Then share each client sheet with the service account’s email (…@….iam.gserviceaccount.com) as an Editor. The account is yours; no Google review is needed.
After you install it
It lands switched off. The client’s checklist holds exactly this:
- Pick the client’s form that starts it
- Connect the client’s Resend (email), for “Acknowledge it” and “Tell the owner”
- Connect the client’s Anthropic, for “Check the must-haves”
- Connect the client’s Google Sheets, for “Log the application”
- Fill in Business name (How messages sign off)
- Fill in Reply by (When applicants hear back: “Friday”, “within a week”)
- Fill in AI model (The model the client’s key can use)
- Fill in Must-haves (The hard requirements only: licence held, can work weekends, own transport)
- Fill in Applicants sheet ID (The Google Sheet applications are logged to)
- Fill in Owner’s email (Gets the summaries and the cases a person must handle)
